Fit
Good fit, and not a fit
The right-hand column is the useful one. If any of it is load-bearing for your business, Belvak alone will not cover you, and it is cheaper to find that out now.
Belvak is a good fit if
- You are a service company of roughly 5 to 50 people: an agency, an IT firm or MSP, a consultancy, a contractor, an architecture or engineering practice, a staffing agency, an events team, or a facilities and AMC provider.
- You sell work, deliver it, and invoice for it, and today those three things live in three different tools.
- You run recurring work next to one-off projects (maintenance contracts, AMCs, monthly retainers) and want both billed from the same place.
- You want to replace a patchwork of tools rather than configure an ERP. You sign up and set it up yourself, with no implementation project and no consultant in the way.
- You hire and pay your own delivery team, and want candidates, employees, payroll, and hours sitting next to the work they belong to.
Belvak does not do
- Trust or IOLTA accounting. Belvak does not manage trust accounts and is not a substitute for compliant trust accounting. Keep the tool built for that.
- Bookkeeping, general ledger, and tax. Belvak is not an accounting or tax system. It does not keep ledgers, prepare returns, or produce audit workpapers. The QuickBooks Online connector pushes invoices, payments, and expenses into the books you already keep.
- Court-rules and jurisdiction-specific compliance calendars. You can track deadlines on a project, but there is no deadline engine that knows your jurisdiction's rules.
- Manufacturing, inventory, and e-commerce. Belvak stays inside the service-company workflow on purpose. If you also move stock or sell online, a broad ERP is the better fit.
- Contracts with built-in e-signature. Proposals are shared as tracked links and marked approved or rejected. There is no e-signature step.
- Gantt charts and timeline scheduling. Projects carry status, dates, and assignments, not a dependency-driven Gantt view.
- Deep resource planning and capacity forecasting. Belvak keeps resource scheduling and forecasting light. Teams whose whole operating model is capacity planning will want a specialist tool.
- Remote monitoring and helpdesk ticketing. Belvak runs the contracts and billing side of an MSP and pairs with whatever RMM or helpdesk your technicians already use.
- Design and document tools. No CAD or BIM, no docs or whiteboards. Belvak sits alongside those rather than replacing them.
Cost
What it costs
Free for 1 user. Professional is $49 per month including 5 users, then $8 per extra user. On annual billing Professional is $39 per month with extra users at $6. There are no per-module charges and no minimum seat count.
The Free plan requires no credit card and has no time limit. Professional can be cancelled anytime, and cancelling keeps Professional features until the end of the billing period, after which the account reverts to Free with your records intact.

A third tier, Custom, exists for teams of 30 or more: volume pricing, a self-hosted deployment option, SSO, extended audit retention, and dedicated onboarding and data migration. It has no listed price and is arranged by contacting us.
Trust
Security and data
Your client records, projects, invoices, payments, contracts, and payroll would live here, so this is a fair thing to interrogate. The full write-up, including the security practices and the GDPR position, is on the security page.
- Role-based access control with per-entity view, create, edit, and delete permissions, so financials and payroll are not all-or-nothing.
- Sessions on HttpOnly, SameSite, Secure cookies, regenerated every 30 minutes, validated server-side on every request.
- An audit trail that records the user, the timestamp, and a full data snapshot on every change, searchable in Settings.
- Automated daily backups with 60-day retention to geographically separate cloud storage.
- Data encrypted at rest and in transit, and a self-hosted deployment option on the Custom plan if you need the data on your own infrastructure.
Connections
Integrations and API
Connectors that are live today
Belvak has its own app in the Zapier directory, so you connect it in a click without generating an API key. Stripe adds a shareable payment link to an invoice and records the payment when it clears. Slack posts the events you choose to the channels you choose. QuickBooks Online receives a one-way push of clients, invoices, payments, and expenses. Connectors are a Professional plan feature.
If your team writes code
There is a REST API (version 1) covering 11 record types, including clients, projects, invoices, payments, proposals, and employees, and 33 outbound webhook events signed with HMAC-SHA256. API access is a Professional plan feature, and keys are created, rotated, and revoked by an admin in Settings.
Migration
What switching looks like
The honest version: there is no one-click importer that lifts a whole company out of another tool. Here is what actually happens.

Clients can come in from a spreadsheet
Export your client list as a CSV, up to 2 MB and 2,000 rows, and the import reads your column headers, proposes a match to Belvak's client fields, and shows you that mapping before anything is created. It ends with a row-by-row report, and clients that already exist are skipped. Importing clients is a Professional plan feature.

Everything else is entered in the app
There is no bulk file import for projects, invoices, employees, suppliers, or contracts. You add them through the app, either in one sitting or as each record comes up in normal work.

Or written through the API
If you would rather script it, the REST API accepts creates for all 11 record types. That path needs the Professional plan and someone comfortable writing against an API.

Start with what is live, not with history
A practical starting point is active clients, open projects, and unpaid invoices. Closed history can stay in the old system for reference instead of being re-entered, and you can always add an older record later if you find you need it.

Your data stays exportable
Any entity table exports to CSV, and Settings holds a full export of your workspace data, so leaving is as mechanical as arriving.
